Definable Manager's Report

This option allows you to customize your Manager's Report into the format required by your hotel or by your General Manager. Using this function, you can define which statistics will be printed on the report and in what order.  (A list of statistics items is shown in Calculated Values, below.) Once the report has been defined, you may run it at any time by selecting Miscellaneous>Reports. You may also wish to add the Manager's Report to the End of Day Sequence (Configuration>Setup>End of Day Sequence>Reports>Final Reports) so that it is generated automatically when the End of Day process is run.

Select Configuration>Setup>Definable Managers Report to access the Definable Manager's Report screen. The current report configuration is displayed.

This screen shows a complete list of the statistics that are available for the Manager's Report. An X in the Active column means that the statistical item is currently included in the report.

Search Criteria

By default, all statistical items are displayed. Enter your search criteria and select the Search button to find specific statistical items.

Description. Enter all or part of the description of the item you want to find. Only statistical items whose descriptions contain the string you enter here will be displayed.

Property. This field is visible when the OPP_MHOT Opera Property Management Multi- Property Base (Cross Profiles/Configuration) add-on license is active. Select the down arrow to choose the property for which you wish to see the Manager's Report configuration.

Definable Manager's Report Screen

The following fields are available on this screen.

X. An X in this column indicates that the item has been selected for the Copy action. Click in the X column to select the item or use the All and None buttons to select all items or to un-select all items.

Item Description. Text description of the statistical item.

Line. Is there a line drawn on the report following this item? Y = Yes, N = No. Lines may be used to divide sections of the report or to call attention to a particular statistical item.

Rows. Number of blank rows following this item. Blank space may be used to divide sections of the report for clarity or to call attention to a particular statistical item. The default is 0 rows (no extra space).

Active. An X in this column indicates that the statistical item will be included in the report.

Seq. Number indicating the relative position of the item in the report. Items are displayed from lowest number to highest number. You may highlight an item and use the Up/Down arrows to change the position of the item in the report. (Opera automatically changes the sequence number for you when you use the Up/Down arrows.) Alternatively, you may manually change sequence numbers when you edit the item.

Function Buttons

Search. Searches for the search criteria that has been entered.

All. Selects all of the items displayed in the grid.

None. Deselects all of the items that are selected in the grid.

Move Up. Moves the selected item(s) up in the sequence order.

Move Down. Moves the selected item(s) down in the sequence order.

View Rep. Allows the property to view the report after making modifications to it (See Viewing the Manager's Report below for details).

Copy. When the OPP_MHOT Opera Property Management Multi-Property Base (Cross Profiles/Configuration) add-on license is active, copies all of the selected items to another property. The button is inactive if there are no items selected or if the user does not have permission to modify the manager's report.

Edit. Edit's any statistical items that pertain to the highlighted report (See Editing Statistical Items below for details).

Close. Closes out of the Definable Manager's Report functionality.

Viewing the Manager's Report

As you include and exclude statistical items, make changes to the display sequence of items in the report, and change the report format, you may wish to see how the report will look. To inspect the report, select the View Report button. The Statistics screen appears.

Note: To configure the Manager's Report parameters for the End of Day Sequence, use Configuration> Setup>End of Day Sequence>Reports.

The following parameters are available when you manually run the Manager's Report.

Property. This field is visible when the OPP MHOT Multi-property PMS add-on license is active. Select the down arrow to choose the property for which you wish to see the Manager's Report statistics.  

Note: The Property LOV is not available when adding the Manager's Report to the End of Day Reports. The report can only be run for the login property during the End of Day sequence.

Report Period

Date Range

Date Range. When you have selected the Report Period, the appropriate Date Range options appear. For example, if you select Calendar and Month as the Report Period, Date Range fields appear allowing you to choose the calendar year and the month you wish to report on. Or, if you select Fiscal and Period, Date Range fields appear allowing you to choose the fiscal year and the fiscal period you wish to report on. The current date determines the default Date Range field entries, but you may make changes prior to running the report.

Filter

Room Class. (Available when the General>Room Class application function is set to Y.) Select the down arrow to choose one or more specific room classes on which to report. The default is all room classes.

Print by Room Class. (Available when the General>Room Class application function is set to Y.) Select this check box if you wish to have report statistics grouped by room class. Statistics for each room class will begin on a new report page. A total page will show aggregated statistics for all selected room classes.

Currency Code. (Available when the General>Multi- Currency application function is set to Y.) Select the down arrow to choose the currency in which you wish to see revenue amounts reported. The default is the property's base currency.

Include

Tax. select this check box to include tax amounts in revenue statistics. The default is to not include taxes.

Last Year. Select this check box to include information from the calendar or fiscal year prior to the selected year, as appropriate, for comparison. For example, if you had selected fiscal period 2 from the year 2005 in the Date Range fields, the report will also show statistics for fiscal period 2 from the year 2004 alongside the corresponding 2005 statistics. The default is to not include last year's statistics.

Forecast. Only displayed when the Month to Date Report Period filter is selected and the Date Range is the current business date minus 1, selecting this check box displays a Activity Forecast Snapshot at the end of the report however many days have been defined in the No. of Days field, using the Date Range filter as the begin/start date. The Forecast Snapshot will display forecast data with a default of 5 days and for a maximum of 31 days from the defined start date in columns for the following items, which will be hard coded. Information included in this section includes the following:

No. of Days. Displayed when the Forecast check box is selected, the number entered in this field determines the number of days displayed in the Forecast Snapshot section. The default value for the field is 5, but can have a maximum of 31 days entered.

Once you have chosen your report parameters, select  Preview, Print, or save the report to a File.

Copying Items to Other Properties

Copy. This option is available when the OPP MHOT Multi-Property PMS license is active. Use it to copy an item from this property's Manager's Report setup to another property. Choose the item(s) to copy by marking them in the X column. Then select Copy. The multi-select Property LOV allows you to choose one or more properties to which you wish to copy the item(s). When items are copied, Opera retains their current configuration settings.

Editing Statistical Items

To edit an item, highlight the entry on the Definable Manager's Report screen and select the Edit button. The Definable Manager's Report - Edit screen appears.

Enter the following information, then select the OK button.

Item Name. Name of the statistical value that is being used in your report. (This field is view-only.)

Item Description. Description of the statistical item that will print on the Manager's Report. (This field is view-only.)

Display Seq. Number indicating the relative position of the item in the report. Items with lower sequence numbers appear before items with higher sequence numbers. (You may also change the position of an item in the report while working from the Definable Manager's Report screen. To do so, highlight the item and use the Up/Down arrows. Opera will automatically change the display sequence number.)

Print Line. Select this check box to draw a line after this item when it appears on the report. Lines may be used to divide sections of the report or to call attention to a particular statistical item.

Blank Rows. Enter the number of blank lines you wish to place following this item when it appears on the report. Blank space may be used to divide sections of the report for clarity or to call attention to a particular statistical item. The default is 0 rows (no extra space).

Active. Select this check box to indicate that the item is active. If the item is active it will show on the report.

Inactive Date. This view-only field shows the (most recent) date that the item was marked as inactive.
